EDVP Reopened

Updates on the Ed-Fi Data Validation Portal (EDVP) are complete, and it is now ready for use. 

Note: Reports for the 2025-26 school year will be available when submissions open for the year. Watch for further announcements in the newsletter.

Save the Date! EDVP Training

Are you new to your position and want to know what the Ed-Fi Data Validation Portal (EDVP) is all about? Haven’t had to go into the EDVP recently and want a refresher? We will walk through the functionality and uses of the EDVP in this training.

Do you need to sync to Ed-Fi, and you’re wondering where to start? Thanks to our Advisory Team, we have an Ed-Fi Setup Process Checklist (Start here!) This checklist walks you through the very first steps of getting ready to submit data via Ed-Fi. Next, take a look at our MARSS in Ed-Fi Dual Submission Checklist. It covers the steps to prepare to submit your MARSS data via Ed-Fi. Both of these checklists also include links to tutorial videos and/or other helpful resources.

Did Your District Change SIS Vendors?

Please notify us at ed-fi.mde@state.mn.us if your district has changed SIS vendors for the 2025-26 school year. It is important for us to know if you have a new SIS vendor in order for us to create a new application and to issue a new Key and Secret.

Annual Reauthorization to Access EDIAM

District IOWAs need to reauthorize user access to EDIAM on an annual basis. Please ensure that district staff who need access for data submission have been reauthorized as users under the available roles within EDIAM for the 2025-26 school year. Key and Secret Set Up

Key and Secret Set Up for 2025-26 School Year

Beginning Friday, August 1, districts can configure their 2025-26 Ed-Fi API Key and Secret and verify that they are ready for data reporting.

NOTE: JMC and Region 1 district users can disregard the following information.

Key and Secret Definition

In order to send MDE data via Ed-Fi, each LEA is issued a Key and Secret to enter in the Student Information System (SIS). The "Key" acts like a user ID, and the "Secret" as the password. Unlike personal usernames and passwords, this Key and Secret are for the LEA rather than the individual person.

A good analogy is a toll road. The vehicle is the Key to get your passengers to the destination and the ez-pass is the Secret that recognizes you have permission to go through the gate, but the road can go in both directions.

Key and Secret for 2025-26

Key: last year's Key, change "2025" to "2026"

If your Key does not end with 2025, add 2026 to the Key.

Secret: same as last year

What if I don't have a Key and Secret?

If you have switched Student Information System vendors for the 2025-26 school year or don’t have a Key and Secret, please email ed-fi.mde@state.mn.us.

Digital Equity

FY2025 Digital Equity Data

The most recent statewide data for digital equity has been posted to the Minnesota Department of Education (MDE) website. Digital equity data is useful to help support the state's broadband access goals by using funds allocated to the state for digital equity. This annual data collection is updated by October 1.

As schools plan for information updates ahead of the 2025-26 school year, please include digital equity data. MDE has sample surveys in multiple languages and other resources available to help facilitate the data collection.

Early Education

Ed-Fi and Early Learning Open Office Hour

We are reaching out to districts who have not yet submitted Ed-Fi data for EE Student (Early Childhood Family Education and School Readiness) and for Early Childhood Screening (MARSS). Please join us for a small group virtual meeting to better understand the specific challenges you are facing and to determine some solutions together.

MARSS

Early Childhood Heath and Developmental Screening in MARSS

Early Childhood Health and Developmental Screening programs use the MARSS PS generated state aid to serve children between the ages of three and seven years. Please assure MARSS PS records are assigned for screenings completed by the district as well as those submitted by parents and completed by Head Start, Child and Teen Checkups, Private Providers (clinics) or if the parent conscientiously objects to meet the statutory requirement. Minn. Stat. 142D.091 (2024).

Early childhood screening coordinators must submit their program annual early childhood outcomes screening reports for final state aid, therefore please make every effort to assure all MARSS PS records for screenings completed between July 1, 2024, and June 30, 2025, have been uploaded to MDE by the end of July 2025 (Note: final MARSS PS deadline is October 9, 2025.

This is also a dual submission year, so districts may partner with their student information system vendors to assure all screenings are submitted via Ed-Fi. Until a district has certified to submit via Ed-Fi only, they must continue to submit MARSS A/B file uploads for state screening aid.

Save the Date for MARSS PS Open Business Hour

Join us September 24, 2025, from 1 to 2 p.m. for an Open Business Hour to review the process of submitting Early Childhood Health and Developmental Screening records (as MARSS PS) into Ed-Fi. The link to this event is available on the MDE calendar. Ed-Fi Documentation has videos and frequently asked questions documents for reference. Note: until a district has certified themselves to submit by Ed-Fi only, submitting MARSS PS records by A/B upload is still required to obtain screening state aid. Since the screening is a legislative requirement (Statutes 142D.091) for prekindergarten, early learning scholarships, and public kindergarten programs, all districts should be submitting the MARSS PS data.

MCCC

New MCCC Validation - Validation Error 34

What is Validation Error 34?

Validation 34 is a new validation which checks if you entered an enrollment type in the course section of your student information system software before you submitted your MCCC data to MDE via Ed-Fi. If the enrollment type was blank or had no entry, when you check the MCCC validations report you will see that you have a Validation error 34, "34. Section enrollment type Error: Section 123230 course5022 organization 10001001 must have a value reported".

How do I know if the data from my organization has Validation Error 34?

Validation 34 has been added to the MCCC validation report. The MCCC validation report is available in the EDVP under the 'Reports' tab when your data collection is set as 'MCCC'. Within the 'Reports' tab, select 'Dynamic Reports', then select 'MCCC Validation Report'. This report is not available under the 'Validations' tab in the EDVP.

How do I fix Validation Error 34?

Validation Error 34 checks for no entry on the enrollment type in the section in your student information system software, so to fix this error, you need to make a selection for enrollment type in the course section of your student information system software. If the enrollment type is left blank, then then select 'Scheduled'. Once the selection has been made your organization's data needs to be synced to the state again via Ed-Fi.

New MCCC Training Video Available: Prek-12 New Staff Overview

The pre-K through 12th grade New Staff Overview is now available in the Ed-Fi documentation library. This training is for new pre-K through 12th grade staff who report MCCC data. It covers the steps of MCCC reporting, resources available about MCCC, and who MCCC reporters can reach out to for support.
