Last School Leaders Listening Session for 2024-25 SY

Join us for the third of three Ed-Fi School Leaders Listening Sessions. Share this invitation with your school leaders.

The MDE Ed-Fi team wants to hear about district, charter school, and Tribally Controlled School needs and collect input from leadership for consideration in shaping the Ed-Fi roadmap as the program moves forward.

Ancestry Ethnic Origin

AEO/Counting All Students in Ed-Fi Open Business Hour

An Open Office Hour will be held on Thursday, June 5, at 11 a.m. (AEO/Counting All Students), for your local team that coordinates information for AEO/CAS for this report.

AEO Data Submissions Due June 30

Thank you to those who have already submitted Ancestry Ethnic Origin (AEO) data for the 2024-25 school year. AEO data needs to be submitted by June 30, 2025, to be included in the Counting All Students Annual Report.

Tips for submitting AEO data:

  • AEO data is synced via Ed-Fi
  • As long as your district is collecting the data and submitting via Ed-Fi, you are meeting the reporting requirement.
  • Refer to the Student Detail Demographic Extended Report (AEO) under the MARSS security role in the EDVP to confirm submitted data.
  • Another option: in the EDVP, go to Validation>Validation Results to launch a new validation for this year to confirm submission of data.

The form for families to fill out and the parent letter are available on the Ed-Fi Documentation webpage. Select AEO under data collection on the left-hand side. Validation Error 425 in Student Demographics AEO Reports

An inaccurate validation error (ID 425) is showing up in reports generated in the EDVP. The issue is being investigated for a possible solution. Please watch the Ed-Fi Updates Newsletter and the Issues and Bugs webpage for further updates.

Digital Equity

FY2025 Digital Equity Data

The most recent statewide data for digital equity has been posted to the Minnesota Department of Education (MDE) website. Digital equity data is useful to help support the state's broadband access goals by using funds allocated to the state for digital equity. This annual data collection is updated by October 1.

As schools plan for information updates ahead of the 2025-26 school year, please include digital equity data. MDE has sample surveys in multiple languages and other resources available to help facilitate the data collection.

MARSS

Checklist for MARSS Reporting in Ed-Fi – Dual Submission

Phase 1: Comparison Report in EDIAM

  1. Research in your software where some data may be entered in a separate area than the original spot for the A/B files. Guidance from MDE is in Ed-Fi Data Guide for School Year 2024-25.
  2. Find out from your vendor how and when Ed-Fi data is synced to MDE and sync data.
  3. Submit/upload the A/B files in MARSS Web Edit System (WES.)
  4. Run Comparison Report and correct discrepancies. Resource: Comparison Report: Ed-Fi/MARSS Comparison Report Guide and Comparison Report: Discrepancies to Disregard

Phase 2: Moving on to MARSS WES

  1. Run Edit using Ed-Fi, and resolve any errors listed in the MARSS 08 error report.
  2. Correct student errors and resync the data.
  3. Run the Edit using Ed-Fi again and print or download reports. The recommended reports are detailed in the MARSS/Ed-Fi Comparison.
  4. Run the Edit using A/B files and print the same reports.
  5. Compare the same report with Ed-Fi or MARSS A/B as the data source.

Early Childhood Heath and Developmental Screening in MARSS

Early Childhood Health and Developmental Screening programs use the MARSS PS generated state aid to serve children between the ages of 3 and 7 years. Please assure MARSS PS records are assigned for screenings completed by the district as well as those submitted by parents and completed by Head Start, Child and Teen Checkups, Private Providers (clinics) or if the parent conscientiously objects to meet the statutory requirement (142D.091).

Early childhood screening coordinators must submit their program annual early childhood outcomes screening reports for final state aid, therefore please make every effort to assure all MARSS PS records for screenings completed between July 1, 2024-June 30, 2025 have been uploaded to MDE by the end of July 2025.

This is also a dual submission year, so districts may partner with their student information system vendors to assure all screenings are submitted via Ed-Fi. Until a district has certified to submit via Ed-Fi only, they must continue to submit MARSS A/B file uploads for state screening aid.

MCCC

MCCC Due Date

The due date for reporting final, clean 2024-25 MCCC data is Wednesday, October 1, 2025.

NOTE: MDE Ed-Fi does not turn off the Ed-Fi MCCC reporting. The data is still being sent unless you deselect the MCCC data from the Ed-Fi Sync. The submitted MCCC data is then pulled for annual reporting. This means that data can still be sent after October 1, but data sent after October 1 will not be included in the public reporting that uses MCCC data. Please ensure you have time to enter data into the student information system, to send the data, and to review and validate the MCCC data by October 1.
