Vended Meal/Food Service Management Company (FSMC) Contracts

Sponsors should review their contracts. If a vended meal contract or FSMC agreement expires during the SFSP program year, remember to upload a renewal or newly executed contract to the site application that includes the provision for SFSP program meals through the remainder of the summer. Visit the MDE Procurement webpage for more details.

SFSP Budget Reminders

Avoid these common budget errors on the sponsor application to prevent delays in approval.

  • Expense items are missing. Budgets must include estimates for all expenses required to operate the SFSP. If the program expense will not be paid with SFSP reimbursement, it should still be included in the budget and an additional income source must be recorded under projected income. Review the SFSP Allowable Expenses and Required Documentation.
  • If an expense is not included in the state agency approved budget, SFSP reimbursements cannot be used to pay for the expense.
  • Budget total is not based on the site application(s) number of estimated meals served. Expenses and revenues must be estimated based on the planned number of meals/snacks to be served at sponsor’s site(s). Use the Estimated Reimbursement Worksheet — Summer Food Service Program to determine estimated reimbursement.
  • The budget shows a deficit. Additional funds must be available to cover SFSP expenses. Record the amount and source of additional income under projected income. Negative budgets cannot be approved.
