MDE/SIS Vendor User Groups Return for 2023-24 School Year
User groups are back by popular demand for the 2023-24 school year! User group meetings offer the opportunity to connect with SIS vendor and MDE staff at the same time for collaboration, updates, asking questions, and troubleshooting. Feel free to ask questions or just sit back and listen. If you didn't have a chance to join last year, we hope you will be able to this year! User group meetings will resume in October. Look for more information on the MDE Calendar and also from your specific SIS vendor.

Key and Secret Sync Deadline
Districts should be synched to the API no later than October 1 to ensure data submission deadlines are met. If you have not yet synched for the 2023-24 school year and need support, please reach out so we can help! Email ed-fi.mde@state.mn.us.
Key and Secret Office Hours *New*
New this fall, we are offering Key and Secret Office Hours. This is an informal time to come and get support for synching to the Ed-Fi API. Drop in anytime during these hours. Register on the MDE Calendar. If these times don't work for you, we'd still love to help! Email ed-fi.mde@state.mn.us..

Grade Level Early Education Conflict Resolution
A conflict was occurring when the same student was enrolled in both a non-MARSS Early Education program and a MARSS Early Education program at the same school on the same date. This created a conflict, because Ed-Fi does not allow two Student School Association records to be submitted for the same student at the same school with the same begin date.
To resolve this problem, Student Information System (SIS) vendors have deployed a solution over the summer and early fall which involves reporting Voluntary Pre-Kindergarten (VPK), Early Childhood Special Education (ECSE), Early Childhood Screening (ECS) also known as Preschool Screening (PS), and School Readiness Plus (SR Plus) in grade Early Education (EE). Data is then translated to the MARSS reported grade levels before entering MARSS WES. Your SIS vendor and MDE staff worked hard to get this in place for the start of the 2023-24 school year.
ECFE and School Readiness will continue to be in grade EE and stored appropriately. This also means ECFE and School Readiness start dates no longer need to be delayed by one day from the MARSS early learning record.

MARSS Data in Ed-Fi Open Business Hours
Please join the "MARSS Data in Ed-Fi Open Business Hours" to ask questions about MARSS Ed-Fi data and discuss issues you may be seeing.
The sessions operate on a Microsoft Teams platform. If you do not have Teams downloaded as an application on your computer, please select the "open in browser" option after you have selected the "Join Teams Link" from the MDE Calendar.
Open Business Hours is an opportunity to ask Ed-Fi related questions, so there is no "training" per se. Sessions are not mandatory, nor do you need to attend all sessions offered.
Sessions are from 11 a.m. to 12 p.m. on the dates below (no registration is required):
- September 28
- October 10
- October 18
Ed-Fi/MARSS Advisory Team
The Ed-Fi/MARSS Advisory Team held its first meeting for the 2023-24 school year on August 15. The Ed-Fi/MARSS Advisory Team meets to provide input on decisions that impact the submission of MARSS data via Ed-Fi. The goal is to receive input that guides MDE to provide better support of Local Educational Agencies (LEAs) in their transition to Ed-Fi. Facilitated by MDE staff, the advisory team is composed of members from LEAs and Regional Management Information Centers (RMICs). Advisory Team members are selected to represent all Student Information System (SIS) vendors, as well as a range of geographic regions and district sizes.
