Checking on Credits for USDA Foods in Management and Vended Contracts

The following information is provided for school food authorities (SFAs) that have a Food Service Management Contract or Contract for Vended Meals contract.

  • SFAs that have a food service management contract or a vended meals contract must assure themselves the vendor has fully provided credits to the school for the value of USDA Foods received at the warehouse or processor. The SFA does this by checking the total amount of credits received from the vendor during 2017-18 to the value of USDA Foods received at the warehouse or processor during the contract year. The form below provides instructions about how to determine the amount of credits received from monthly bills or other records, and how to determine the total value of credits due.
  • MDE has provided a form to assist schools with this process – Reconciliation of Credits for USDA Foods. If the reconciliation shows there are any outstanding credits the school did not receive, the school must contact the vendor to receive the additional credits.
  • The reconciliation form does not need to be submitted to MDE. The school is responsible for checking credits that have been fully received before deciding to renew a contract and sending the contract renewal form to MDE.

For fixed-price contracts, credits for USDA Foods are cash deductions that reduce the amount paid to the vendor.

For cost-reimbursable management contracts, credits for USDA Foods represent the value of USDA Foods that has reduced the food costs that were reimbursed to the vendor.

In addition to the current contract year, reconciliation also may also be conducted for previous contract years to determine whether any credits are owed to SFA for those years.
