Two Questions to Ask Yourself When
Convening a Meeting
Have you ever attended a meeting and wondered “Why am I
here?" and “What is my role at this
meeting?” Is that the type of meeting
you want to convene? If not, be sure to
ask yourself these two simple questions AND be sure to share the answers with
those attending your meeting.
Question 1:What is the purpose
of this meeting?While you may have thought about this, it is
important to articulate your purpose and objectives for a meeting both to help
you plan the meeting and to manage the expectations of those attending.Managing those expectations at the front end
of the meeting by sharing the purpose and objectives with attendees helps to
build relationships.

2:What is the role of attendees at the
meeting?There are two different
roles someone attending a meeting may have.One is that of providing input or information and the second role is
that of a decision-maker.An attendee
may fulfill one or both of these roles. Trust and
relationship building can be negatively impacted if someone thinks they are coming to have a role in
decision-making when that is not what they will be part of!There may be times that decision-making
cannot be given to meeting attendees but their input to assist those in
decision-making can be very useful for an informed decision.Don’t assume attendees know what their role
is!Share this with the attendees at the
beginning of a meeting to manage expectations and create trust.
The next time you are planning a meeting, answer
these two questions And be sure to share it with the attendees!!
