Expiring Vaccine and Ordering Guidance

Good Morning Immunization Partners,
Please review the following COVID-19 vaccine update on expiring vaccine, redistributions, and inventory clean up.
PFIZER AND MODERNA EXPIRING DOSES AND ORDERING UPDATE
Due to the amount of Pfizer and Moderna COVID-19 vaccine set to expire at the end of February and in March, MDHHS is encouraging providers to utilize on-hand doses of Pfizer and Moderna or seek redistributed doses when possible rather than placing a new MCIR E-Order.
Continue to check your inventory and expiration dates using first-in/first-out storage and handling practices. To request doses for redistribution, providers should contact their local health department (LHD) regarding available vaccine (www.michigan.gov/LHDmap). Providers should also contact their LHD as soon as possible if they will be unable to use their remaining Pfizer and Moderna doses prior to the expiration date.
If necessary, an E-Order in MCIR may be placed if the following applies:
- Provider is confident in utilizing the minimum order quantity
AND
- Provider has contacted the local health department and is unable to receive redistributed doses from the local health department or another provider.
As a reminder, E-Orders are not automatically approved. They are sent to the LHD for review and approval before being processed by MDHHS.
Please remember to include ancillary supplies during redistribution. CDC’s redistribution tool for ancillary supplies can assist. Utilize this tool to help ensure all the syringes, needles, supplies, and diluent needed for vaccine administration move with vaccine during redistribution.
To ensure members of your community can locate vaccines at your facility, please continue to report your up-to-date vaccine inventory through Vaccine Finder. It is a CDC requirement that vaccine inventory be updated daily within Vaccine Finder. For additional training resources on using Vaccine Finder, please visit Vaccine Finder Provider Resources.
MCIR INVENTORY CLEAN UP
In order to better evaluate vaccine ordering needs, CDC is beginning to review jurisdictions’ COVID-19 vaccine inventories. To assist MDHHS in preparing for this review process, we are requesting that providers evaluate their current on hand inventories and update both MCIR and Vaccine Finder with the most current inventory data.
The most effective way to evaluate and update vaccine inventory is by completing a physical count using MCIR’s Physical Inventory Report. For instructions on completing this report and other inventory management tasks, please review the attached MCIR Vaccine Inventory Module User Reference Guide.

CDC VACCINE CODE SET MANAGEMENT SERVICE
The COVID-19 Vaccine Lot Number report, available via CDC’s Vaccine Code Set Management Service, can help identify expiration dates. The report is updated daily with COVID-19 vaccine lot numbers and expiration dates provided to CDC by vaccine manufacturers.
