Changes in LHD Sitrep

MDHHS Thanks all local health departments (LHD) for all the work and patience over the last several months in submitting the sitrep survey every week.

This week MDHHS is making a change to make the school outbreaks easier to submit. The survey will now have an option to upload an Excel file rather than having to individually enter each school outbreak repeatedly. It is anticipated this will reduce the time LHDs must take on the sitrep each week.

A couple of notes:
• Please use the template developed by MDHHS to submit the school outbreaks in your jurisdiction.
• If there is an outbreak listed on the website that you are not reporting as new or ongoing for the current week, please include it and mark it “closed”. That will give us the information we need to make sure nothing is missed.
• LHDs will still have the option to submit each school in the usual way on the Qualtrics survey
• If you submit an excel file, leave those questions blank and skip to the next.

Additionally, questions about distribution of BinaxNOW materials will be included on the sitrep moving forward. The questions will ask which facilities have received distributions as well as how much and when they were distributed.

If you have any questions, please feel free to reach out to Jim Koval or Anne Haddad at any time.

Volunteers

The Michigan Volunteer Registry Team sent out a letter to all registered volunteers asking them to identify if they would be willing to respond if there is a need for volunteers. The letter state that a response may call for medical professionals and/or non-medical professionals, and state there could be a need for volunteers that are willing to assist with administrative duties and could potentially be virtual. Volunteers were reminded that if their profile was not complete, they would not be able to deploy until it was completed, and a background check performed. Organization Administrators were asked to respond and were asked to encourage their volunteers to respond.

The Registry Team received the response of “Yes, I am willing to respond” from 805 volunteers throughout the state. The Registry Technician, Susan Puls, has placed these willing respondents in groups in the Registry according to region. As access to these groups are all configured as “All Administrators of All Organizations”, the LHD EPCs may review these groups for possible volunteer help in their health departments or elsewhere.

If you need any assistance reach out to Susan; she is ready to help.

Holiday Closing Survey

DEPR has developed a quick survey so LHDs and tribes can tell us what days your agency will be closed around the Thanksgiving, Christmas, and New Year holiday – or other closings. The survey is now open and can be accessed using this link: https://www.surveymonkey.com/r/7NQG8WX. The survey will remain open until COB on December 4, 2020.

State of Michigan offices will be closed on the following days: November 26, November 27, December 24, December 25, December 31, and January 1, 2021.

The CHECC will remain activated at the level of a duty officer on those days. Use the following information to contact the CHECC Duty Officer during non-business hours: Email: checcdeptcoor@michigan.gov, cell phone: 517-819-0391.
