Safety is
a primary concern at CUPF and public schools. It is imperative that children be
supervised by an adult at all times while using a school facility. This is for
the safety and wellbeing of children. Children (anyone under age 18) should not
be dropped-off at the door and expected to walk to the gym or other room for
their activity. An adult must walk children into the facility, and may then
temporarily transfer care to another adult, if appropriate. Additionally,
exterior doors should never be propped open, as it is a serious security risk. Groups
with unsupervised children or groups found propping open doors may have permits
revoked very quickly. These are critical concerns. We ask for your help in
ensuring the safety of children.

Reminder: Summer camp programs meeting the definition outlined below are
considered high-volume use and may apply request reservations now through
February 1, 2017.
The last
day for summer camps at public schools will be Friday, August 11, 2017. This
allows school staff to prepare buildings for teachers and students to return
prior to the 2017-2018 school year.
Use the Priority,
High-Volume and Other Bulk Use Request Form on the CUPF resources page to
submit your summer camp use, if you meet the following definition: (a) summer programs for children and youth during the
months that MCPS K-12 educational programs are on summer break, and (b)
operates three to five days a week, at least three hours each day, serving the
same participants, and (c) is registered and compliant with applicable government
regulations to camps.
If your
application is received later than February 1, 2017 or if you do not meet the above definition, you may request
reservations on May 1, 2017 via www.ActiveMONTGOMERY.org.

for use March 15 through August 15, 2017. This process excludes public high school grass,
artificial turf, and regional park fields.
Update: Submission deadline for summer “sports
league” and “athletic sports club” designations is March 1, 2017. If you
submitted a league/club designation form for the school year, it does NOT carry
over into the summer. A new form is required for summer 2017. This is NOT for
your dates of use, but simply to apply to receive approval as a sports league

Then, click on “Request for Designation as Sports League or Athletic Sports
Club” form. If your group meets one of the two definitions and wish to apply for
high-volume use scheduling, please complete and submit the form. We must
receive this request form no later than March 1,
2017, for dates of use during the upcoming Summer season in order for groups to
be considered for high-volume, historical use priority.

Reminder: The submission date for large events during the MCPS summer break is
approaching. Reservation requests will be accepted beginning February 2, 2017
for dates of use between June 20 and August 11, 2017. The beginning date
for the summer reservation period is subject to change dependent upon an
extended school year due to inclement weather closings. Large events may not be

User
groups may not place tape of any kind on gym floors, for any reason. There are
no exceptions. If the floor finish is damaged, even slightly, groups may be
responsible for the full cost of refinishing the floor. This has occurred on
more than one occasion and is very costly to community user groups. It also disrupts
all teams using the gym because the gym will be closed for several days and all
groups will be canceled during the repair. Most importantly, it is disruptive to
the schools K-12 educational programs. Community user groups are guests at
school facilities. Help us keep school facilities in good condition and
welcoming for all community groups.
Often,
residents have thought that the use of the cafeteria or all-purpose room in a public
school constitutes use of the adjoining kitchen. Please note that these rooms
are considered two separate facilities with different needs and requirements.
If a
group desires to utilize both, they may certainly request to reserve both. Each
of the rooms has an independent facility use cost. The facility use fee for the
kitchen includes a certified food services worker to assist with use of kitchen
equipment, which is required for all use and or entry into an MCPS kitchen
facility. If a group does not request and pay for use of the kitchen, entry to
the kitchen is strictly prohibited.
These
measures are in place to avoid food prep areas becoming unintentionally
contaminated, which may pose a serious health issue for school students.

Reminder: Food and drink at school facilities is strictly prohibited in gyms,
hallways, classrooms, media centers, etc. Such areas are not treated for pests
and often result in unwanted insects and rodents. The only authorized areas for
food and drink is the all-purpose room and cafeteria. We appreciate your help
in keeping schools clean and safe for students and community user groups.
Open
flames of all types are strictly prohibited in public school facilities due to
fire safety regulations. This includes candles, grills, sterno equipment of all
types, etc. Further, hotplates, microwave ovens, and other electric cooking
devices are prohibited in public school facilities since electrical systems in
rooms other than kitchens do not have the capacity for such equipment.

Reminder: Arrival and departure times shown on CUPF permits are firm.
Participants should not arrival prior to or stay beyond times shown on the
permit. Many groups are scheduled back-to-back. When one group arrives early or
stays late, it often disrupts other groups’ use of the facility. We want all
groups to have equal access and an enjoyable time using public facilities. We
appreciate your cooperation in respecting the times on your permit.
