Today's message includes the MTR due dates for June dates of service and a general reminder on Staff Inadvertently Becoming Inactive. This edition also includes tips for Developmental Disability Administration providers on how to resolve no approved service plan exceptions.

Best Practices to avoid Staff Inadvertently Becoming Inactive
There are a few system best practices to avoid your staff becoming inactive unintentionally. When deactivating and reactivating staff please keep the following in mind:
- Do not enter staff activation dates in the past. Only today’s date or future dates are allowed by the system.
- Use the calendar drop-down to select dates or enter in dates as MM/DD/YYYY. For example, 09/01/2018 is the correct format, while 9/1/18 or 9/1/2018 are not accepted. Using unaccepted formats will cause the dates to change to 01/01/0001 resulting in staff inactivation.

Tips for Success!

Resolving No Approved Service Plan Found exceptions for DDA Providers
No Approved Service Plan Found exceptions occur if the participant did not have an approved and active Person Centered Plan (PCP) on the date of service due to one of the following scenarios:
- The effective date of the authorized PCP is set to a date after the billed date of service
- The participant has a gap period between plan authorizations
- The participant is not authorized for any services
Resolution Pathways
- Verify authorization by running the Authorized Clients Report:
If you are unable to find any evidence of your agency’s authorization, contact the participant’s CCS
- Determine if the Authorization is after the date of service:
If the start date of the PCP is in the future, then the billing is not authorized during this time. Please discard the entry and do not provide/bill for services prior to the PCP’s authorization. Contact the participant’s CCS for further information.

IVR Telephone EVV System Update for CO/CFC Programs
In an effort to expedite the clock in/ clock out process and keep your staff members privacy more secure, effective 6/29/2023 at 6:00 PM, caregiver staff will no longer be asked to verify the OTP code, Provider number or SSN when using the CO/CFC ISAS EVV call in system.
Important note: Staff will still be required to enter this information. They will just not be asked to verify the entry a second time.
Example:
System: “Please enter in your 9 digit provider number”
User: Enters in 123456700
System: “You entered 1-2-3-4-5-6-7-0-0. Is that correct? Press 1 for Yes and 2 for No” (This verification will be removed)

Dates of service in June 2023 first become due beginning July 1. Please refer to the below calendar for a quick reference of when MTRs are due for each date of service in June.
 Please note: You must use the correct MTR comment category, and both “save” and “submit” all MTRs prior to the deadline.
