Q: What is the process for navigating the K Screen Staff File Editor and updating the staff file?
A: The K Screen Staff File Editor is the web tool used by districts to submit staff access information for the BRIGANCE® Online Management System (OMS). This web-based application, available as of Monday, May 4, enables districts to identify individuals who require Administrator or Data Entry access to support the annual K-Screen implementation. The Office of Assessment and Accountability (OAA) uses submitted data to establish user accounts prior to the screening window, ensuring efficient and secure access.
To begin, open the K Screen Staff File Editor in a web browser. A sign-in to a district Google account is required. From the dropdown menu, select the district and click “Load Staff” to display the current list of staff. A notice will appear with guidance on which staff roles should be included. After reviewing the notice, click “I Understand” to continue.
The table will display editable fields for each listed user. Update entries as needed by entering the district email address (must end in @district.kyschools.us), first and last name, selecting the appropriate school from the dropdown menu, and choosing the role (Administrator or Data Entry). To add a staff member, click “Add New Row.” New entries will appear at the bottom of the table. Complete all required fields and assign the appropriate school and role. To delete a user, click “Delete” and confirm the action when prompted.
When all updates are complete, click “Submit Changes” at the bottom of the table. A confirmation message will appear when the submission has been successfully processed.
All updates must be submitted by Tuesday, July 7, at the close of business. Meeting this deadline is essential for inclusion in KDE’s automatic user account setup for BRIGANCE OMS. As stated in the K Screen Implementation Guide, any staff not submitted by the deadline must be manually added by the District Assessment Coordinator (DAC) after the statewide setup is finalized.
Please note: Kindergarten teachers should not be entered in the Staff File. Teacher accounts are created automatically through Infinite Campus. To ensure successful creation, primary homerooms must be scheduled, and at least one new kindergarten student must be enrolled in each homeroom.

AKSA Office Hour #2
The second AKSA Office Hour, titled District Post-Assessment Procedures, is scheduled for Wednesday, May 20, from 10-11 a.m. ET. This session is designed for DACs, Building Assessment Coordinators (BACs), Directors of Special Education (DoSE), and all teachers/test administrators involved in the Alternate Assessment administration. Participants will have the opportunity to ask specific questions as districts prepare for the end of the testing window. Please use the following link to join the Office Hour:

AKSA Window 2 Closes May 22
The last day to administer AKSA testing window 2 Attainment Tasks (AT), all Window 1 makeup tests, and the TAR will be Friday, May 22. DACs should collect and retain student response sheets and securely store them until after data cleanup. All other testing materials are to be securely destroyed after Friday, May 22.

AKSA and TAR Reporting Database Closes May 29
All scores for AKSA Window 2, Window 1 makeups, and the TAR must be entered into the Student Registration Database (SRD) by the close of business Friday, May 29. For students who have been determined by the Admissions and Release Committee (ARC) to no longer meet eligibility criteria for AKSA, or if a student has moved out of state or transitioned to homeschool, please complete the SRD/CRD Student Deletion Request 2026 form. The final day to delete students from SRD is Friday, May 29.

SDRR Hot Topic Office Hours Series Reminder
OAA will host a series of office hours on various hot topics in the Student Data Review and Rosters (SDRR) application. The topics, dates, times and link to the Teams meetings below may be forwarded to any district and school users of SDRR who may benefit from attending these sessions:
Office Hour- Determining 100-Day Accountability: Rules and Tools- May 5, 1-2 p.m. ET
The office hours will be hosted via Microsoft Teams. The sessions will start with a review and a demonstration of SDRR functions, followed by questions. OAA encourages all district and school users of SDRR to join and ask questions on SDRR. Attendees are not required to register for the office hours, and the office hours will not be recorded.

2025-2026 CRD CWEC/ESAR Reporting Deadline May 29
Districts must enter 2025–2026 Career Work Experience Certification (CWEC) completion status and Employability Skills Attainment Record (ESAR) evaluation scores in the Career Readiness Database (CRD) by Friday, May 29.
The CWEC completion status and ESAR evaluation score are reported to the Kentucky Department of Education (KDE) via the CRD for students enrolled in an alternative high school diploma course of study who are working towards career readiness. Refer to the CWEC Administration Guide, ESAR Administration Guide and CRD User Guide for details.
CRD student registration was automatically imported for eligible Grade 12 and Grade 14 students in an alternative high school course of study or alternate assessment who have completed at least one CWEC course. If a student registration is not showing in the CRD, verify in the student’s Career Ready Alternate Assessment Folder (CRAAF) and/or Infinite Campus (IC) Assessment tab whether the student has already completed CWEC and met an ESAR benchmark. Students are not registered in the CRD if KDE has already received prior-year reporting showing the student met career readiness, or if the student has been assigned a graduation code.
Please note: If a CWEC or ESAR score must be reported to KDE during the 2025–2026 school year and an eligible Grade 12 or Grade 14 student was not automatically loaded, the district may manually register the student in the CRD.
Additionally, Grade 11 students may complete an early ESAR evaluation if the student has completed at least two CWEC courses and are ready to report an ESAR score to KDE. Grade 11 students were not automatically registered in the CRD, but districts may manually enter eligible students for reporting during the current school year.
To register a Grade 11 student or any other eligible student who was not automatically registered, refer to the CWEC Administration Guide, ESAR Administration Guide and CRD User Guide for details.
