Q: When is the final day to have changes in Infinite Campus (IC) before the final data file is pulled by KDE to insert in the Student Registration Database (SRD) for the Alternate Kentucky Summative Assessment (AKSA)?
A: September 30 is the final day to make changes in Infinite Campus to enrollment numbers for AKSA students prior to the final pull by the Kentucky Department of Education. Any changes made beyond this point will have to be manually edited by the district personnel within the SRD and may delay receipt of AKSA testing materials for students impacted by late additions and/or edits.
Quality Control (QC) Day
QC Day is tentatively set to occur on Sept. 22 from 9 a.m.- 4 p.m. ET. The purpose of the QC Day is for District Assessment Coordinators (DACs) to identify systematic issues in accountability data prior to any public release. Please look for a Special DAC email(s) this week for more information.
Checking Data in BRIGANCE OMS
District Brigance contacts should conduct periodic data checks to ensure everything is entered correctly and in a timely manner. There are two reports in the BRIGANCE OMS to use for checking data entry. Each report should be exported as a CSV file for optimal functionality.
- The Group Screening Summary Report lists every student with submitted data, which will be reported to KDE after the Oct.15 deadline. Use this report to find students with duplicate entries by unchecking the box “Include only the most recent.” When the data is exported as a CSV file, the district Brigance contact can arrange the student names in alphabetical order and check for duplicates. Students should only have one entry. If duplicates appear, delete the duplicate entry in the BRIGANCE OMS. Detailed instructions can be found on the Brigance OMS Training Site, Part 10.
- The Screened/Not Screened Report lists every student in the school or district and shows whether the students have data saved but not submitted, or data submitted. This report also shows if students have no screening data entered. OAA is removing the task of collecting nonparticipation for K Screen Rosters in the Student Data Review and Rosters (SDRR) application. Note: please keep documentation at the school/district level for any student that is not screened.
- The Early Learning Prior Settings Report is an ad hoc report in IC, which is most effective when exported as a CSV file. To search for students with no prior setting data, set filters in the spreadsheet and search for blanks in the “Type” field. The students displayed have no prior setting data entered. Please note this report shows every kindergarten student in the district, including those who have been retained. Retained or repeating Kindergarten students MUST include prior setting data.
The K Screen data window closes no later than October 15. If this date is on a Saturday or Sunday, the final deadline will be on the Monday following the 15th of October
ACT Fall 2022 Senior Administration: Materials Arriving & Non-Test Activities Reminder
Materials for the upcoming senior administration will continue arriving in schools the week of Sept. 19. Testing staff can monitor material shipment progress by logging into PearsonAccessNext (PAN) and locating a tracking number associated with their material shipment. When materials arrive, testing staff should inventory the packages within 48 hours to ensure all items within the packing list are included in the shipment. Testing staff can review the Test Coordinator manual for more detailed instructions about receiving and handling secure material.
The material shipment will include personalized non-test instructions, secure accommodation materials and corresponding supporting documentation for students to conduct the non-test activity within MyACT. Prior to conducting the non-test activity, testing staff should be made aware of the KDE Parental Consent policy form, as well as the instructions and resources for conducting the non-test activity, both of which can be found within step 4 of the ACT-hosted website. The non-test activity will take approximately 30 minutes to complete. Testing staff should arrange to host in-school non-test activity sessions prior to test day. ACT Fall 2022 Senior Administration: Deadline to Order NCR Material Approaching
The deadline to request Non-College Reportable (NCR) accommodations materials is Friday, Sept. 23. Testing staff can secure these materials by placing an additional order within PearsonAccessNext (PAN). Testing staff can review a training tutorial to obtain additional information about placing an additional order in PAN. ACT Spring 2023 Junior In-Person Training Opportunities
OAA and ACT are partnering to offer testing staff the opportunity to participate in in-person training sessions to provide information about the spring 2023 junior administration cycle of the ACT. This test administration training session will cover the essential tasks for test coordinators throughout the testing cycle. It will include information on how to administer the pre-test, order materials, store secure test materials, administer the test and return the materials after testing for scoring and reporting. This information is targeted primarily to assigned test coordinators, but other key testing staff, including test accommodations coordinators and district assessment coordinators, are welcome to participate. Assessment Scores in Infinite Campus
The Kentucky Department of Education (KDE) strives to publish student results data in Infinite Campus (IC) as it becomes available. KDE will publish KYOTE assessments to districts beginning on Tuesday, September 20th.
