2020-2021 K Screen Data Entry Deadline May 28
Now that the Kindergarten Screen is closed, please remember to have all screening data entered into the Online Management System (OMS) and all prior settings data entered into Infinite Campus (IC) by May 28.
If a student has not had the Core Assessment administered, please do not input the Self Help and Emotional Scales data into the OMS. The Kentucky Department of Education (KDE) can only analyze and report data that includes both components of the Brigance Screener.
Required data entries include the Core Assessment and Social Emotional Scales in the OMS and Prior Settings data in IC. It is highly recommended that K Screen staff generate and check data reports as soon as possible prior to May 28 to ensure that all data have been entered correctly and entirely.
Once all data is submitted in the OMS, it is recommended that districts download a .CSV copy of the Group Screening summary report. More information can be found in the Duplicate Screen Cleanup Guidance document. It is important that districts download a copy of their screening data before June 15. On June 15, the OMS becomes inaccessible to districts to prepare for the 2021-2022 K Screen Implementation.
Districts do not need to request a nonparticipation for virtual students in the Student Data Review and Rosters (SDRR) application. The Core Assessment cannot be administered virtually. Districts are not expected to screen students who have remained virtual all year and the parent has not brought the student in for the Core Assessment to be administered.
K Screen 2021-2022 Staff File Submission Deadline June 15
In order to build the Online Management System (OMS) staff file for the 2021-2022 school year, the existing staff file must be edited.
The district assessment coordinator (DAC) must access the spreadsheet from the KDE Secure Web Applications website and choose "Student Data Detail (Excel and PDF)." The staff file is included in the Excel spreadsheet: "SD22_districtnumber_K_Sreeen _Users_DistrictName_XXXXXX.xlsx."
The district’s spreadsheet will be pre-populated with the information originally submitted for the 2020-2021 school year. The spreadsheet provides a list of staff with specific roles that Curriculum Associates will use to build the Brigance OMS each year. Please review and make any corrections or additions as needed. Please email the updated staff file by June 15 to KDE Assessment.
Note: As mentioned in the "K Screen Refresh Webcast Training," districts do not need to add teachers into the staff file for the 2021-2022 school year. Only district administrators and data entry clerks need to be added to the Staff File.

Brigance Training of Trainers Make Up Session July 22
On July 22, KDE and Curriculum Associates are hosting the Training of Trainers make up session for the 2021-2022 school year. This training is for inexperienced new district trainers who will deliver face-to-face or virtual training to teachers in districts for the 2021-2022 school year.
This training is not required for experienced district trainers. Experienced district trainers only need to watch the "K Screen Refresh Webcast" on the KDE Media Portal. Additionally, teachers need to receive training from their district trainers after district trainers have attended the Training of Trainers session.
New district trainers may sign up on this Google Form by July 19.

To best serve the K Screen community, it is important to understand the roles within each district and school. Please complete the K Screen Contact Information form and identify staff working with the 2021-2022 K Screen implementation. It is important that all of the following participate:

- School Point-of-Contact

Running Reports and Duplicate Cleanup
As the deadline for K Screen data to be input in the Online Management System and Infinite Campus is approaching, it is important that districts check data regularly. There are two reports in the Brigance Online Management System (OMS) to use for checking data entry. It is recommended each report be exported into .CSV format for optimal functionality.
The Group Screening summary report lists every student with submitted data, which will be reported to the Kentucky Department of Education (KDE). Use this report to find students with duplicate screening entries by unchecking the box that says “Include only the most recent.” When the data is exported as a .CSV file, the district Brigance contact can arrange the student names in alphabetical order and check for duplicates.
Students should only have one entry. If duplicates appear, delete the duplicate entry in the Brigance OMS. Consult the OMS Guidance Document on duplicate screening cleanup.
The Screened/Not Screened Report lists every student in the school or district and shows whether the student has data that has been saved but not submitted, or data that has been submitted. This report also shows if students have no screening data entered.
There is an ad hoc report in Infinite Campus (IC) called “Early Learning Prior Settings,” which is most useful when exported as a .CSV file. Set filters in the spreadsheet and search for blanks in the “Type” field. The students displayed have no prior setting data entered. Please note this report shows every kindergartner in the district, including those who have been retained. Students who have been retained need to have prior settings data input into IC.
Checking district data prior to the deadline of May 28 will ensure a smooth transition from the 2020-2021 K Screen Implementation.
