Keep Your District’s Contacts Up to Date on Person Role Manager

The Kentucky Department of Education (KDE) emails important information regarding the Title I, Part A program to all district Title I coordinators throughout the year. These communications include important announcements and deadlines for funding and programmatic needs, new and updated resources, newsletters, and professional learning and training opportunities.

The list of recipients for these emails is generated by a program called Person Role Manager. The district web apps admin point of contact (WAAPOC) has the ability to update the personnel listed in this program. The district contacts listed in Person Role Manager feed into the Open House website.

Districts must check and update, if necessary, the name of the Title I coordinator for their district to ensure the correct person receives communication from KDE in a timely manner. This process includes adding new coordinators, as well as removing coordinators no longer working with the Title I, Part A program.

To change or verify the Title I coordinator for your district, follow these instructions:

  • Verify the Title I coordinator by selecting your district on the Open House website.
  • If the role is blank or incorrect, the update must be made in Person Role Manager via KDE Web Applications.
  • For Title I coordinators who are listed but no longer should be, their Role Status must be changed to “inactive” and a Role End Date entered via KDE Web Applications | Person Role Manager.
  • To add a Title I coordinator, the Role Status must be set to “active” and a Role Start Date entered. Also ensure an email address is entered on the demographic screen. This should be done via KDE Web Applications | Person Role Manager as well.

To ensure important communications are received, update the contact information accordingly and list the correct point of contact as “active” in Person Role Manager for Title I coordinator.

Resources for Navigating a “New Normal”

As you navigate a “new normal” this fall with COVID-19, you may find that you are in need of additional resources when collaborating with your stakeholders to brainstorm new, creative, effective ways of serving families, educating children and preparing schoolwide plans that address the challenges we face during a pandemic. KDE has collected resources from across the nation that you may want to check out and add to your toolbelt. 

  • IRIS Center: The IRIS Center is a national center dedicated to improving education outcomes for all children, especially those with disabilities, from birth through age 21 through the use of effective evidence-based practices and interventions. This website provides a module for parents to support learning during the COVID-19 pandemic.
  • U.S. Department of Education STEM Webinars: The Aug. 25 Cyber Education webinar will highlight workforce, teacher and student opportunities. Future webinars will address STEM Competitions, STEM and Social Emotional Learning, and Convergence, Innovation and Entrepreneur Education. All of the webinars are free and accessible.   • Supporting Children’s Reading at Home – Family Resources for Kindergarten through 3rd Grade: On July 9, the Regional Education Laboratory (REL) Southeast hosted a webinar for parents and caregivers of rising kindergarten through 3rd-grade students on how to support reading in the home setting. The “Supporting Children’s Reading at Home – Family Resources for Kindergarten through 3rd Grade” webinar provided participants with an overview of the components of the REL’s Supporting Your Child’s Reading at Home resources and a virtual walk-through of the website containing the resources. The recorded webinar will be posted on the Institute of Education Sciences’ YouTube account.
  • Comprehensive Center Network COVID-19 Education Resources: Nationwide, educators and families are rapidly transitioning from traditional classroom learning settings to learning from home through online resources. The National Center has assembled a Rapid Response Team to curate an extensive list of Resources for Continuity of Learning.

Helpful Tips from Districts

Mason County: Building the Title I, Part A Application

Sharing information with other coordinators and district staff can help all districts collaborate, network and improve practices that support student outcomes. Mason County can provide a helpful tip in the area of building the Title I, Part A application.

Mason County works collaboratively with district and school staff to develop plans that are thoughtful, authentic, needs and evidence-based, and data-driven. Specific breakdowns of expenses are given in the budget and leave the reviewer with a clear and thorough picture of the district’s plan as well as each individual school’s plan.

When collaboratively building the Title I Application, Mason County Schools offers the following tips:

  • Develop a shared vision that the application is built to raise the academic achievement of all students.
  • Create expectations that the application must address the school’s needs assessment and provide schoolwide strategies and resources that increase the effectiveness of instruction.
  • Ensure that funds are allocated to and used by the school with support from the district.
  • Meet with stakeholders at the school level as well as a district Title 1 Team throughout the construction of the application.
  • Provide communication and transparency through the use of technology.
  • The Mason County Title I Google Classroom serves as:
    • A Title I communication tool.
    • A Title I monitoring, documentation and evidence collection tool.
  • A place to access all Title I information.
    The Mason County Title I Budget (Google Sheets) serves as:
    • A communication tool, built by and shared with all stakeholders at the school and district level.
    • A living document that is congruent with the GMAP budget.
    • A link to all Title I funding transactions (purchase requests, POs, invoices, etc.).

Additional Training Being Offered for New Title I Coordinators

A virtual session for new Title I coordinators was provided in June and July. If you were unable to attend the prior sessions or were recently hired as a new coordinator, you might want to register for this training.

Topics will include requirements of the Title I program, an overview of monitoring processes and the review of helpful resources.

EILA credit will be awarded to attendees. This session is scheduled for 9 a.m.-noon ET for Sept. 3. Register using this Google Form by Aug. 31.

 

2020-2021 Comprehensive Improvement Planning

The Commissioner’s Monday Message for Aug. 3 provided a comprehensive improvement planning timeline for districts and schools for the 2020-2021 school year. eProve will continue to serve as the platform for all comprehensive improvement planning work for the upcoming school year.

This year, the Title I Annual Review diagnostic has been removed from the eProve platform. In place of the diagnostic, schools will provide the needed information within the Assurances portion of eProve and through existing comprehensive planning diagnostics.

Instructions for completing Equitable Services Agreements and all CARES Act Equitable Services guidance have been created and are posted on KDE’s Non-Public School Ombudsman webpage.

Consolidated monitoring reports from the 2019-2020 monitoring season have been posted to KDE’s Statewide Consolidated Monitoring Process webpage.

 

Monthly Title I Webinar

The July Title I webinar and accompanying PowerPoint are available on KDE’s Title I, Part A Documents and Resources webpage. During the webinar, information centered around the Consolidated Checklist, EL Programs and beginning-of-the-year reminders.

The August webinar will be held at 10 a.m. ET on Aug. 27. A reminder email will be sent before the webinar.
