School Nutrition Programs

This weekly newsletter from the Indiana Department of Education (IDOE) is dedicated to providing education, training, and technical assistance opportunities to school nutrition professionals, helping to ensure seamless operations for those participating in the U.S. Department of Agriculture’s (USDA's) Child Nutrition Programs. If you are the food service contact for your school or facility, please be certain that everyone on your team has access to this important information.

Happy Holidays from SCN!

Tip of the Week

Know the Lingo

IDOE has a list of commonly used acronyms for the school nutrition programs. Check out the guide and test your skills by translating the following:

"During the AR, the reviewer found that RM was not properly managed in PLE. Additionally, the AFR was not completed on time, POS meal counts were not maintained, and the menus were short on M/MA for the week at the elementary school. The SFA must submit CA to the SA by Monday, January 1."

Important Updates

October Claim Deadline

The October claim deadline is Tuesday, January 2. With many people off for the winter holidays in the coming days, please ensure the October claim for reimbursement is filed before the deadline. Claims with “approved” status have been fully submitted.

October and November Claims Have Been Processed

October and November claims for reimbursement have been processed in CNPweb. Sponsors that have submitted claims will see the status change to "paid" and sponsors should see payments submitted to their banks by the end of this week or early next week.

Team Nutrition (TN) Grant Trainings Update

If you are a frontline staff member who has completed eight hours of TN grant training in Moodle, submit your information to the Training Completion Form. Once that has been received, an email will be sent from teamnutritionin@doe.in.gov with information on a form that needs to be completed in order to receive your monetary incentive. The Central Indiana Education Services Center (CIESC) will be distributing payments to individuals. Please note that it may take a month to receive the payment.

As a reminder, managers, directors, and assistant directors, should be taking the courses in the Director and Manager tile on Moodle. This will include 40 hours of training resulting in a $500 monetary incentive to the first 250 managers and 250 directors. Please keep in mind that all 40 hours of courses have not been released for managers and directors. This means that only frontline staff should be submitting the training completion form to IDOE at this time. We will continue to update you as new sections of courses are released.

Check Your Email

A Single Bank survey was emailed to schools last week requesting feedback. IDOE would like as many schools as possible to participate. The deadline to complete the survey is Friday, January 12. Addtionally, a special edition of the School Nutrition Programs newsletter was emailed to your Food Distribution Program contacts containing information about the 2024 Annual Forecast (Pre-Order) Survey. Contact Cheryl Moore with questions.

Receipting in the Fresh Fruits and Vegetables Order Receipt System (FFAVORS)

School Food Authorities must receipt Department of Defense Fresh Fruits and Vegetables (DoD Fresh) orders in FFAVORS within 5 calendar days. Failure to do so could result in suspension of your school’s FFAVORS account and/or the inability to place fresh produce orders. Please view the 3-part DoD series in Moodle for a refresher and more information.

Holidays and E-Learning Day USDA Foods Orders

Please remember that it is mandatory to have school staff available to inspect, verify and accept all USDA Foods orders that are placed. This is especially important for orders placed during e-learning days, school breaks and holidays. State-assigned warehouses Dilgard Frozen Foods, McFarling Foods, Stanz Foodservice and Wabash Foods are contracted to deliver Direct Delivered (Brown Box) USDA Foods to schools between the hours of 7 a.m. to 3 p.m. local school time.

FDP 2.0 Update

Due to unforeseen circumstances, IDOE is postponing the FDP 2.0 rollout until further notice. Schools should continue to complete food distribution program transactions such as placing USDA Foods orders, annual pre-order surveys, and inventory management in CNPweb. IDOE will notify schools via this newsletter, and the CNPweb update and message screen when FDP 2.0 goes live.

Team Nutrition Grant Trainings Update

A new section of training presentations on menu planning has been released for directors and managers. Directors and managers are welcome to begin working on these modules. Please keep in mind that not all 40 hours of manager and director courses have been released yet. This means that only frontline staff should be submitting the training completion form to IDOE at this time. We will notify via this newsletter when new sections of courses are released. If you are a frontline staff member who has completed all eight hours of required training, make sure you submit the Training Completion Form. Next steps will be sent to all who have completed the form in the coming weeks. Please review our frequently asked questions (FAQs) or contact the Team Nutrition Training Grant team with questions.
