Weekly School Nutrition Newsletter

07/12/2018

Dear Food Service Contact,

This email provides current news for schools concerning the Child Nutrition Programs from USDA and the state. If you are the food service contact for your school or corporation, it is your responsibility to relay important information provided to you about the Child Nutrition Programs to other staff members.

Now Available: CNPweb 2019

  • Program Year (PY) 2019 is now accessible in CNPweb.
  • In order to begin claiming reimbursement for PY 2019, Sponsor and Site Applications must be completed and approved.
  • Sponsors will have to submit offline forms to our office. To identify the documents that must be completed and submitted, check out the Packet tab in the CNPweb after the Sponsor and Site Applications have been completed. Anything with an asterisk (*) will indicate the forms that need to be submitted.
  • Please Note! Our system is displaying the wrong error message for the charged adult price for breakfast and lunch. If you are getting an error stating the amount you are charging adults needs to "equal or exceed the amount that is listed,"  the message should just read "exceed."
    • For instance, if you have priced your adult lunch at $3.30 and the system error is saying your adult price must equal or exceed $3.30, that actually means you need to raise your adult price higher than $3.30. We are working on getting this issue fixed.
    • See the Adult Meal Pricing formula in the last newsletter.
  • Don't see a button to submit applications to Pending Approval? Make sure your Sponsor and Site pages are submitted, and if any offline form has an asterisk, you will need to enter a date that the document(s) was sent to our office.

After School Snack Program - New Requirement for PY 2019

  • All sponsors operating the After School Snack Program in PY 2019 are required to take the After School Snack Program online course in inTEAM’s Blackboard.
  • This course outlines the requirements and procedures to ensure program compliance.
  • Whether the school is operating the After School Snack Program for the first year, or if they have been operating the program for many years, the course is required to be completed before PY 2019 can be approved in CNPweb.
  • To access inTEAM’s online courses, click here.
  • Please note:
    • One username and password has been assigned per sponsor.
    • Click here for the User Guide.
  • After completing the quiz, the certificate of completion must be emailed to Ashley Heller at aheller@doe.in.gov.

2019 Direct Certification

  • Direct Certification (DC) is up-to-date and accessible.
  • Please note! Due to technical difficulties, we do not have Foster Children Data for our Direct Certification Matching Process. We will notify you in a future newsletter when Foster Child Data becomes available via e-mail and on the Direct Certification & Verification Dashboard message screen.
  • As a reminder, schools will still be able to DC students based on their Medicaid eligibility. There are two ways that students will be identified in the STN App Center - Medicaid Free or Medicaid Reduced.
  • To categorize students correctly, the following assistance codes will be listed to the right of each student in column U:

  • Questions and Answers:
    • Q: I keep seeing June as the month of eligibility when I run Direct Cert matches or conduct a look up. Is that a problem when awarding benefits for the 2018-2019 school year?
      • A: Direct Certification data is always a month behind. So as long as you ran the Direct Cert report after Thursday, July 5, any student you match is considered Direct Certified for this new school year.
    • Q: If a household contains students who are Medicaid Free (M) and Medicaid Reduced (R), what benefit should the students receive?
      • A: If the students are in the same household, all the students can receive the better benefit. All students within the example above could receive free meals. Make sure to document the information to explain why all students are receiving free meals.
    • Q: Only one student from the household was identified and listed on the DC file, and the other students in the household were not found or identified on the DC file. Can I extend eligibility to the other students in the household?
      • A: If you find one student with an F, A, M, or R, that eligibility can extend to the rest of the household members.  Foster status (W) cannot extend to the rest of the household.
    • Q: I ran my Direct Certification Match, but I do not see the report with the list of names and statuses after I hit Download Standard Matches.  The system took me back to the main screen/dashboard. Why?
      • A: Your pop up blocker stopped the file from appearing. If you go back to the main screen/dashboard, click on the yellow square called File Manager and click on the first file that you downloaded. If you have duplicate matches around the same time (because you clicked download multiple times in a row), find the first file that you matched. The system does indicate the time and date under Timestamp.
    • Q: If a household contains some students who are SNAP (F) and some students who are Medicaid Free (M), what determination should I use?
      • A: SNAP is the number one priority, and all students within the household should be determined SNAP (F). Make sure to document the information to show why these students were change to SNAP (F).
    • Q: If a Medicaid Reduced Direct Certified student submits an income application and changes to free status, is that student still considered Direct Certified?
      • A: No, this eligibility is now approved due to an income application, so the household is no longer considered DC. This also means the application is eligible to be pulled for Verification.
  • To directly access DC in the STN Application Center click here: http://scndcdv.doe.in.gov
  • Contact the School Nutrition Division with any questions on Direct Certification.
