IARA County/Local Records Management - Forms Management Update

Hello County/Local Agencies,

I've asked Jackie Swihart, Deputy Director, who is over IARA's Forms Management division, to explain how Forms Management serves your records management needs and to provide some information on possible upcoming changes. 

What is Forms Management?

IARA's Forms Management division provides tailored, cost-effective forms management solutions to state government, while providing a uniform, centralized repository for citizens and constituents. Forms Management is its own form of information governance and IARA plans sustainable information strategies while also identifying potential weaknesses.

In 2021, Forms Management began the process of modernizing its operations in an effort to streamline services to State agencies, while also improving access for the citizens of Indiana. As part of this effort, Forms Management is interested in reviewing two of the forms used the most by County/Local Records Custodians - SF 30505: Request for Exception to County/Local Retention Schedule or Permission to Dispose of Nonscheduled County/Local Public Records (PR-1) and SF 44905: Notice of Destruction of County/Local Government Records in Accordance with an Approved Retention Schedule (otherwise known as the NOD). 

Potential improvements to NOD's and PR-1's...

IARA has received feedback about both of these forms over the years, with more recent feedback centering on increasing electronic access to the NOD in particular. We are aware of the increasing need for improved functionality for PR-1's and NOD's, and recognize the potential for upgrading the process, format, and/or capabilities of these forms for your benefit. As such, Forms Management is gauging interest in sharing feedback from those who regularly engage with these state forms.

If you would be interested in providing feedback, please let us know! If enough people display interest, we can make this a topic of conversation during a future monthly County/Local Records Management chat or schedule a separate meeting to discuss.
