Hello County/Local Agencies,

I've had some questions about remote check deposits from treasurers but I think the discussion is pertinent to any county/local agency. So what should your agency do with checks after a remote deposit to the bank?

If you are just scanning the deposits directly to the bank and not retaining the electronic record, you will need to keep the physical checks according to GEN 10-10.

If you are creating an electronic record retained at the agency, you can keep the electronic record covered under GEN 10-10 and destroy the checks. The physical checks would become a duplicate of the electronic record and duplicates can be destroyed whenever, no permission from IARA.

Of course, if you have any questions, please reach out to me at my contact information below.

Mark your calendars for the next Monthly RM Chat for County/Local Agencies on Wednesday, October 27th at 11 a.m.
