Hello Clerks and staff,
I receive a variety of records management questions and a lot of them focus on the same issue: finding the correct record series for your record. As county clerks, you always refer first to your office-specific retention schedule, Non-Judicial County Clerk (CL), and then to the County/Local General (GEN) retention schedule. These schedules are where you will find the correct record series for your records.
IARA's website offers a tool called the Record Series Search. This search is convenient if you already know what you’re looking for within a specific record series or retention schedule.
Example: If you just can’t remember the retention period for marriage records, you might go to the record series search and type in CL 13-01 to find that information quickly.
The Record Series Search allows you to search across ALL retention schedules for state AND county/local government which can make it a little confusing to find specific information related to just the CL or GEN schedules.
But if you would like to try out the Record Series Search function, attached is my quick guide. I hope the CL/GEN retention schedules and how to use the Record Series Search are helpful.
Have a nice week! Enjoy your Halloween festivities and I'll email you again in November.
