Building Name!

On behalf of the County Commissioners and the Directors of the Departments of Community Services, Housing and Human Services, Boulder County Public Health, and Mental Health Partners, we are very excited to announce the name for our new Longmont building: St. Vrain Community Hub.

This name was developed after significant staff and client input. It very much captures the vision for our collective work in the building: it is a welcoming, respectful, and integrated space that enhances and connects access to services, fosters staff collaboration, and is easy to navigate and flexible enough to meet the changing needs of our clients and staff.

Special thanks to staff, community partners, and clients who have helped bring the vision of this building to life!

Move Checklist: Are You Ready?

August 21st is right around the corner, are you ready? Here are a few tips to help you prepare and pack:

1. Personal items should be boxed up and taken home for safe keeping.
2. Check existing letterhead and pre-printed forms and flyers to make sure they have the correct contact info and are up to date. If not, shred or recycle.
3. Hard copies of old training manuals, handouts, and other dated printed materials can be scanned, recycled or shredded. Ask yourself "Do I really need it? Can it be scanned?" Is it available somewhere else?"
4. Make sure you have the right color move labels for your bins- you'll find labeling instructions here. Refer to the floor plans posted on the Onboarding site to find your workstation number and color quadrant. If you have black or blue labels, you'll need to use a silver marker (see a department SME for markers). 
5. Important reminder: If it doesn't have a label, it won't be moved.

Conference Room Scheduling

Before you can schedule a meeting room at the St. Vrain Community Hub, you must first read and sign the electronic Meeting Room Scheduling Agreement. The purpose of this agreement is to set guidelines and expectations to ensure all staff in the new building understand scheduling and access to meeting room spaces, and agree to comply with these guidelines.

If you had a recurring meeting or future meeting scheduled in a meeting room at CCC, Boston, 529 Coffman, or Kansas Avenue, those meetings were manually transferred to the new meeting rooms at 515 Coffman. These calendar reservations will be forwarded to your calendar automatically once you sign the meeting room agreement.

Check out the new meeting room quick reference card to see a list of meeting rooms and corresponding locations by floor. The reference card includes the room number, size, use, room resources, and notes. You'll also find a link to the card on the SharePoint Onboarding site under the "Helpful Info" section on the left.

Creating Outlook Calendar Groups

Because there are 60+ meeting room spaces in the new building, it may be helpful to organize the spaces you use most often into Outlook calendar groups. Organizing a set of calendars that you frequently view into calendar groups makes it easy for you to see the combined room schedules at a glance. You may also find it helpful to group calendars based on room capacity (small, medium, large), or even by floor.

Here’s an example:

Let’s say you’d like to group the meeting spaces that are closest to your work area. Here are the steps you’d take:

1. In Calendar, on the Home tab, in the Manage Calendars group, click Calendar Groups, and then click Create New Calendar Group.
2. Type a name for the new calendar group, and then click OK.
3. Under the Global Address List, select the meeting rooms you’d like to include in your group. Longmont meeting rooms names begin with “!515Coffman” and end with the room number (corresponding by floor). Click OK.
