Position: Administrative Assistant
Location: Roseville, CA
Hours: Full Time Non-Exempt Position
Salary: Negotiable DOE
Primary responsibility is to man the front desk: answer the phones, answer general inquiry questions and greet walk-in Chamber and community members with a professional, friendly demeanor. This position will also oversee member benefits including conference rooms, Office Depot program, Certificate of Origin, bulk mail stamp, the lobby display and is responsible for coordinating Chamber Orientation. This position is also responsible for Accounts Receivable & maintaining the Chamber database. This position also assists other staff members with clerical support.

This position is located at the Roseville Chamber of Commerce office: 650 Douglas Blvd., Roseville, CA 95678.
Responsibilities:
- Answer incoming calls, emails and greet Chamber office visitors, handling inquiries or finding another staff member to assist as needed
- Ensure that the board room, conference rooms and lobby are neat and orderly daily
- Responsible for opening & closing procedures
- Manage relocation web page & packets
- Ensure lobby is stocked with current City collateral
- Input and update member information into CC Assist
- Prepare and send daily letters to new and renewing members
- Manage Member Benefit Programs: Bulk Mail Stamp, Conference Room, Office Depot Discount Program, Certificate of Origin, Lobby Display
- Manage New Member Orientation- Prezi, packets, secure coffee, invitations
- Serve as Administrative Support to Sales: Assemble sales packets, Set Appts, Assemble Plaques, Walk in Support Etc.
- Serve as Administrative Support to Events: Manage Chamber events on database, manage online ticketing platform, maintain accurate event registrations, referral cash
- Provide Administrative Support to DOA: Board Reports, Leadership Roseville, News & Renews for Comms Specialist etc.
- Provide Administrative Support to DOM: Create & file Call Sheets, put together Ambassador packet, manage scrip, points & invoicing of ambassadors
- Track and enter call and guest log data
- Historian duties: cut out clippings in area newspapers pertaining to Chamber events and activities and add to scrapbook
- Manage Monday morning staff meeting calendars & Kitchen Calendar
- Take notes and type minutes for staff meetings
- Order office and kitchen supplies
- Process All Accounts Receivable
- Prepare monthly account reconciliations for credit cards
- Answer customer questions regarding all payments and invoices
- Provide customer service regarding collection issues, account adjustments, resolving client discrepancies and short payments
- Contact credit card declines
- Process ACH payments
- Verify bill pay (monthly)
- Prepare monthly Accounts Receivable billing invoices & statements
- Send out 30 day out, current and 60 day overdue email invoices
- Send media clips
- Maintenance of Chamber Database- CCA
- Input and update member information in CCA
- Manage all Chamber events within database
- Facilitate Monthly Online Change Log
- Responsible for Business Categories
- Proofread documents, reports, communications, newsletter, etc.
- Assist in other areas as needed and perform all other duties as required
- Run errands for the office as needed
