As of 06/14/2024, the 2023-2024 VFC flu vaccine order set is no longer available for ordering.

The 2023-2024 Influenza Season is coming to an end, and all influenza vaccines will expire on 06/30/2024. If there is any influenza vaccine remaining in the cold storage unit after 06/30/2024, please follow the steps below when the vaccines expire at the end of the day:

  1. Remove all wasted/expired vaccines from the cold storage unit(s). 
  2. Place the expired vaccines in a labeled DO NOT USE box.

What Arizona VFC Providers Need to Know

ASIIS STEPS:

  1. In ASIIS, go to Inventory Management, then click VOMS 2.0.
  2. Click the Inventory tab, then select Reconciliation.
  3. Ensure all administered influenza vaccines are properly decremented from the inventory and linked to the patient record.
    • Please note: If you report vaccination records through HL7 electronically, it can take 24-48 hours for records to post and doses to decrement from your inventory.
  4. Find each lot number to be reconciled.
    • In the Physical Counts column, enter 0 doses as the total. 
  5. Click Adjust to pull up the Adjust Quantity box. If the Quantity on Hand matches the Physical Counts, you will not need to enter a reason for the adjustment. 
  6. In the Adjust Quantity box, enter the number of doses being removed.
  7. Select “Expired” as the Adjustment Category from the drop-down list.  
  8. Select “Expired” for a full, unpunctured vial or “Expired multidose vial” for a partially used vial as the adjustment reason from the drop-down list, and then click on Save.
  9. Check the Inactive box on the far right and click Save at the screen's bottom. 
  10. Repeat steps 4-9 for each expired lot number. 
  11. Enter the Physical Counts for the remaining vaccine in your inventory.
  12. If you enter Private vaccines in ASIIS, you must enter quantities in the Physical Counts column for all vaccines in the Private tab. 
  13. Once the Physical Counts have been entered for each vaccine, click Submit Inventory.
  14. On the Far left of the screen. Click on Returns under Orders & Returns.
  15. For your shipping label method select Email ONLY.
  16. Enter the Quantity to Return number. Next, click the Submit and Print Vaccine Return button.
  17. After clicking the Submit and Print Vaccine Return Button, you will fill out the Vaccine Return Submission.
    • When selecting how many boxes are required for vaccine return, only select 1; then click Confirm and Print down at the bottom.
  18. Once you select Confirm and Print, download the packing list by clicking Download.
  19. Once downloaded, print the packing slip. Package the vaccines listed on the packing slip in one (1) box and include the printed packing slip. A prepaid shipping label will be sent to the primary vaccine coordinator's email and can be printed and attached to the front of the box for return.
  20. The packed vaccines should be given to your regular UPS driver. If you do not have a regular UPS driver, you can bring the package to your closest UPS store.
