AKAIMS March Update – Minimal Data Set Reduced Obligation Extension

The letter sent out December 10, 2021, recognized that a large amount of data was needed to close out the reporting period. In that letter, it was stated that MDS will need to be brought current in the system by March 31, 2022. This letter supersedes the previous letter. Many agencies are still struggling to input complete data sets by this deadline. Based on feedback we have received from the providers, the deadline has been extended to June 30, 2022. Organizations are responsible to complete the entirety of the minimal data set obligations that are part of grant requirements and Medicaid billings. We appreciate all the hard work that has gone into meeting the March 31 deadline. Records submitted to AKAIMS have been included in the SAMSHA submission for the State’s March 31 deadline for Federal reporting.

 

For Behavioral Health Agencies that use AKAIMS for Minimal Data Set, the exceptions given in the December 10, 2021, letter that limited the Encounter Note requirement to one note per active program per client per month will remain through June 30, 2022. The expectation of one note per active program per client per month in previous months has also not changed.

 

The Division of Behavioral Health manages multiple reporting obligations. There are several reports that we will be unable to reconcile this year due to the lower data set reporting. Though treatment agencies have an obligation according to both grant and Medicaid billing, this reprieve will allow them to have until the end of the fiscal year to ensure data is entered accurately. Organizations should prepare to return to full data sets July 1, 2022, as reporting will be reset at the start of FY23.

 

This extension is only for minimal data set obligations. If your organization has other reporting obligations such as GPRA, Therapeutic Courts, ASAP, ISA, or other reporting metrics please follow guidance of that specific reporting requirement.
