AKAIMS Guideance Update 6-9-2021

DBH eMemo important new for you

Dear Behavioral Health Provider Community,

As many of you are aware, due to the cyberattack on the Department of Health and Social Service, Alaska’s Automated Information Management System (AKAIMS), is currently not available. On May 18, 2021, the State of Alaska, Department of Health and Social Services issued a press release which identified the dhss.alaska.gov website as the target of a cyberattack.

AKAIMS Minimal Data Set (MDS)

With the end of the State Fiscal Year (SFY) quickly approaching, the Division of Behavioral Health recognizes treatment agencies are concerned about the balance of entering the required MDS into AKAIMS while performing regular operations and end of year close out. For this reason, the division is extending the due date for SFY21’s MDS requirements to September 30, 2021 to coincide with the end of the Federal Fiscal Year. The state must receive the data by that date as we begin to tabulate the totals needed for our federal reports in October. The division hopes this additional amount of time will alleviate some of the anxieties organizations presently face with the approaching end of the State Fiscal Year and Grant Obligations.

Individualized Service Agreements (ISA)

To provide support for AKAIMS ISA Agencies we are offering the following guidance while AKAIMS is offline.

ISA Reports

The AKAIMS Team can provide agencies the following reports:

  • Contract Management -State to Agency-Authorized Encumbered Expended and Remaining – this will provide you with the amount expended and what is remaining of your agencies ISA funds as of 5/17/21.
  • Client Notes Configurable – this will show you all notes for your ISA clients that are either released or not released.

ISA Claims Submissions

ISA submissions due during the month of May to meet the 30-day requirement has been extended until July 30, 2021

AKAIMS after hour support line remains available for organizations that need a copy of clinical documentation sent via MoveIT or DSM outside of regular office hours. This number is (907) 269-3608. For reference of what clinical documentation can be sent, it is a copy of active Treatment Plans, Encounter Notes entered prior to May 17th, 2021 and Behavioral Health Assessments.
