Who should complete this application?
- Previously approved schools with a building code
- Previously approved schools planning to change the school name, or schools that have changed the name of the school since the previous approval period
Who should complete this application?
- New schools planning to conduct a program of kindergarten and at least grade one, or a program of any or all grades one through twelve
- Established schools operating or opening an additional campus or location with a separate mailing address from the main campus
Uploads and Downloads
- Schools frequently experience issues using Google Chrome. If you are unable to download or upload your staffing report, please try a different browser.
- Double check the format of the document you are trying to upload:
Logging In
- Username:
- Your username is the email as entered in your last Approval Application or as entered into a Change of Information Form.
- The application login is case sensitive, so check to be sure that the email you enter is identical to the email used for your Approval Application OR on your Change of Information Form.
- Double-check that the email address of your Head of School was typed correctly in your Approval Application or Change of Information Form. Even if you do not see a typo, try a copy-and-paste into the username field.
- If you have a new head of school since last spring, and you did not submit a Change of Information form before the February deadline, try using your previous Head of School email address. (You will be able to update this information once you have accessed the application.)
- Password:
- For State Board of Education reporting and forms, your School or Building Code is your password.
- Your building code always has four digits or a combination of three digits and one letter at the end.
- Again, the Report Form is case sensitive. If there is a letter at the end of your code, be sure it is capitalized.
- Some building codes end with the letter O or I. If yours is one of those, be sure you enter the letter rather than the numerals 0 or 1.

When you click “submit” at the end of the Approval Application, you will receive a confirmation email along with a PDF of your application. Please forward this email to appropriate persons in your organization and save the PDF.
Beginning in mid-March, you will be able to check the status of your application by downloading a spreadsheet from the Private School Approval webpage. This spreadsheet will be updated once a week, and on it you’ll be able to see the following column headings:
- Date Submitted: This date is automatically generated when you log in to the online approval application.
- Application Status: If you have logged in to the Renewing Private School Application, or if you have begun or completed a New Private School application, you will see either “Complete” or “Partial” here. No action is needed if you see “Complete.” If this field is blank, we have not yet received your application.
- Date Reviewed: The Private Schools Manager will review applications as quickly as possible.
Recommended Action: If there is an issue with your application, you will be notified here. If your application is complete and your school is ready for recommendation to the board for approval, the month of the board meeting will be listed here along with the recommendation for either full or provisional approval.
